  • Position Title: Admin Executive
  • Working Location: Ubi
  • Working Hours: 5 days (Mon – Fri, 8.30am – 5.30pm)
  • Salary Package: Basic salary up to $2,800 + Variable Bonus
  • Duration: Permanent Role

 

Key Responsibilities

  • Process and enter sales orders accurately and on time in the system
  • Check pricing, product details, and customer information for accuracy
  • Prepare invoices, delivery orders, and related documents
  • Follow up on pending orders and ensure smooth order fulfilment
  • Coordinate delivery schedules with the warehouse, dealers, contractors, and customers
  • Ensure goods are delivered accurately and on schedule
  • Monitor delivery status and resolve delivery-related issues when needed
  • Prepare and submit required shipping documents
  • Monitor inventory levels and update stock records regularly
  • Conduct regular stock reconciliation and physical stock checks
  • Coordinate with the warehouse team on stock movement and replenishment
  • Report stock discrepancies and assist in improving inventory control
  • Provide administrative support to the Sales and Service teams
  • Maintain proper filing and documentation (hardcopy and softcopy)

  • Relevant working experience in an administrative or similar role is an advantage
  • Proficient in MS Office (Excel, Word, Outlook)
  • Experience with ERP systems is an advantage
  • Good communication and coordination skills
  • Detail-oriented and able to manage multiple tasks
